Privacy Policy

This Privacy Policy sets out how Sound Minds uses and processes data from our visitors, customers and supporters.

Sound Minds is committed to ensuring that your privacy is protected.

We will only use information about you in accordance with the Data Protection Act 1998. We take our responsibilities under this act very seriously and ensure that the personal information we obtain is held, used, transferred and otherwise processed in accordance with that Act and all other applicable data protection laws and regulations including the General Data Protection Regulations 2018.

Our Privacy Policy is set out below and explains the following:

  • What information we may collect about you
  • How we may use that information
  • In what situations we may disclose your details to third parties
  • Your rights to access the data we collect about you and opting out

What kind of information do we collect and process?

– Mailing List
In order to sign-up to our mailing list you only need to provide your email address. Using this you can update your subscription preferences at any time or unsubscribe all together. The option to do this is linked from every email you receive from us via MailChimp (see below).

– Audience agency demographic questions
We may ask additional demographic information in order to understand our audiences better. This information is used internally for reporting purposes and may be shared anonymously within the organisation or for funding application purposes.

What do we use your personal data for?

We use your personal data, including any of the personal data listed above, for the following purposes:

– We primarily use email as our main communication method. We send a regular newsletter via MailChimp which generally features information about our recent activity and latest opportunities. The content and layout of our emails is subject to change and you are welcome to update your preferences or unsubscribe altogether as and when you wish.

If you choose to join our newsletter mailing list (which is sent via email), the email address that you submit to us will be stored in MailChimp, which we use for our email marketing.

MailChimp is a third party data processor. The email address that you submit will be stored within their website’s own database but not in any of our internal computer systems.

Your email address will remain within MailChimp’s database on our website for as long as we continue to use this platform for email marketing or until you specifically request removal from the list.

You can do this by unsubscribing using the unsubscribe link contained in any email newsletter that we send you or by requesting removal via email. When requesting removal via email, please send your email to us using the email account that is subscribed to the mailing list.

For information on MailChimp’s Privacy Policy, see here.

When we collect personal data from you we store it under strict safekeeping and confidentiality measures. We use technical and organisational security measures to protect it against misuse. Any external providers we use to process your data must meet our security policies and comply with all relevant legislation about how they store and process your data.

– By disclosing your personal information to us via soundminds.co.uk, in person or in writing, you are giving us your consent to collect, store and process your personal information in the manner described in this Privacy Policy. The information we hold will be accurate and up to date within our knowledge.

If you have any questions regarding the Privacy Policy or your information, please contact staff@soundminds.co.uk.
